Who This Policy Applies To
The ScanIt Delivery app ("the App") is provided by Innovative Programming Systems, Inc. ("IPS", "we", "us") of Grand Blanc, Michigan, USA. The App is a business tool used by delivery drivers and dispatchers at automotive dealerships ("Dealers") that subscribe to ScanIt Delivery, part of the ScanIt Parts platform.
This policy explains what the App collects, why, who we share it with, how long we keep it, and how a driver can access or delete their data. Drivers do not contract with IPS directly — the Dealer who employs the driver activates the driver's account and is responsible for informing the driver of this policy.
Information the App Collects
Account Information (Registration)
- Full name, provided at account setup
- Email address, used to register the driver and to verify the driver's identity with a one-time passcode (OTP) sent by email
Precise Location Data — Including in the Background
- The App collects the driver's precise GPS location continuously during an active route, including while the App is running in the background (not on screen), through a background/foreground location-tracking service
- Background collection stops when the driver ends the route or the App is signed out
- Location data feeds two purposes: continuous route tracking (so dispatch can see where a truck is) and driver-safety telemetry (see below)
We collect background location only to support active delivery routes for an employer Dealer. We do not track drivers off-shift or for personal use.
Motion and Accelerometer Data
- 3-axis accelerometer readings from the driver's device
- Used together with location data to build route-tracking detail and driver-safety metrics (for example, hard braking, rapid acceleration, and sharp cornering events)
- This data is sent back to the Dealer as part of driver-safety telemetry — it is not used for advertising or any purpose outside the delivery operation
Camera and Photos
- Proof-of-delivery (POD) photos taken by the driver in-app at each delivery stop — up to 4 photos per stop
- Only photos captured within the App for a delivery are collected; the App does not access the phone's photo gallery or camera roll
Signatures
- A captured image of the customer's or recipient's signature, drawn on the device screen at each delivery stop as proof of delivery
Delivery and Scan Data
- Barcodes scanned for parts loaded onto the truck and confirmed at each delivery stop
- Delivery stop completion timestamps
- Geo-coordinates captured at the moment of each delivery (separate from the continuous route-tracking location data above)
- Delivery notes and exception flags (for example, damaged, short, or refused deliveries)
Device Information (Automatic)
- Device model, operating system version, and App version
- Push notification token, used to deliver dispatch chat messages and route alerts
- Crash reports — device state and stack trace at the time of a crash, sent to our error-tracking provider
Local (Offline) Storage
Scans, signatures, photos, and GPS positions are saved locally on the driver's device the instant they are captured — including while the device has no cell or data signal. Once a connection is available, this data automatically syncs to IPS servers. Nothing is lost if a driver works through a dead zone; the same data described above is simply held on-device until it can sync.
How We Use This Information
We use the information described above to:
- Authenticate the driver to the correct Dealer
- Route the driver through their delivery stops and hand off turn-by-turn directions
- Show the Dealer's dispatcher the truck's location in real time on the route board
- Generate driver-safety telemetry and route history for the Dealer
- Confirm and record proof of delivery (barcode scan, signature, photos, geo/time stamp) for each stop
- Enable two-way dispatch chat and push notifications
- Sync captured data once a connection returns, after periods offline
- Troubleshoot crashes and improve the App
We do not use driver data for advertising. We do not sell driver data. Each Dealer sees only its own drivers' data — we do not share or compare data across Dealers.
Who We Share Data With
We share App data with the following categories of recipients, and only for the purposes listed:
- The Dealer the driver delivers for — account information, location and telemetry data, delivery/scan records, signatures, and proof-of-delivery photos. Operating the delivery business is the entire purpose of the App.
- Cloud infrastructure providers (Amazon Web Services, US data centers) — for storage and processing. IPS is the data controller; our infrastructure providers are data processors.
- Push notification services — a device token and notification metadata, to deliver dispatch alerts.
- Our error-tracking provider — crash reports and device information, with personally identifying fields scrubbed before sending.
- Law enforcement or courts — only when compelled by valid legal process, and we notify the affected Dealer where the law allows.
We do not share driver data with advertising networks or data brokers, and we do not transfer it outside the United States without a formal data-transfer agreement.
Data Retention
- Account information (name, email) — retained until the Dealer deactivates the driver's account, plus a limited period for record-keeping
- Continuous route-tracking location and accelerometer/telemetry data — retained for a limited period to support dispute resolution and coaching, then deleted
- Delivery/scan records, signatures, and proof-of-delivery photos — retained as the business and legal record of the delivery, consistent with the broader ScanIt Parts platform retention practices
- Crash reports and device information — retained for a limited period, then deleted
Backups may retain data for a short additional period after the live retention window closes.
Your Rights and Account Deletion
Drivers can:
- Request a copy of their data — email support@ipsdev.com
- Correct their account information — update name and email in the App, or contact your Dealer's dispatcher
- Delete their account — the App supports account deletion from within the App (Account settings), or by emailing support@ipsdev.com. We complete deletion requests promptly. Note: certain records required for legal, billing, or contractual purposes (for example, completed proof-of-delivery records) may be retained after an account is deleted, consistent with the retention practices above.

Drivers in California, Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws may have additional rights, including the right to opt out of certain processing. Contact support@ipsdev.com to exercise these rights. We do not sell driver data.
Security
We use encrypted transmission (TLS) between the App and our servers, encryption at rest on production databases, and role-based access controls for IPS staff. We aim to notify affected Dealers promptly after confirming any unauthorized access to driver data.
Children's Privacy
The App is a business tool used by employed drivers and dispatchers. It is not directed at children, and we do not knowingly collect information from anyone under 18. If we learn a child's information was collected, contact support@ipsdev.com and we will delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated "Last updated" date. Your continued use of the App after a change constitutes acceptance of the updated policy.
